As a business and PM position in the company, there are countless anomalies, tasks and emergencies interspersed every day! Everyone only has 24 hours! How to create maximum work efficiency within a limited time has always been my goal. Before pursuing the goal of maximum work efficiency, I listed four major projects for myself at present: divided into: first, quotation, second, work order control, third, exception handling, and four, client fixed data provision.
Since 2016, PSI has begun to focus on the automation planning method of the operation process, mainly through the system, which greatly reduces the operation time of the operators and improves the efficiency. As long as the efficiency is improved, the unnecessary costs can be avoided to cope with the impact of the high cost era! Let's introduce how we have improved our operational efficiency in the past 6 years.
#Quotation:
Quotations are divided into two types: old customer quotations and new customer quotations. The automatic planning of new customer quotations is still under planning. As for the old customer quotations, the construction has been completed, and it is currently being optimized!
- Old customer quotation system
- Working mode
(1) | It is mainly to build a database for the OEM material distribution first, and use the customer's part number as the key value. When there is a new model, the material distribution data with the same part number will be automatically imported. |
(2) | Working hours: Directly capture the working hours on the reporting system and import it into the quotation system. |
(3) | Application for steel plate and FCBGA Carrier: If the process engineer needs to apply for steel plates and FCBGA Carrier, they can be maintained in the system, and the system will automatically import the quotation system. |
- Maintenance work
(1) | Ingredients: If the new model has a new customer part number, it will be manually divided and stored in the Database. Through rolling maintenance, the material distribution database will be more and more complete. |
(2) | Working hours: The labor hours of the previous quotation will be automatically imported. If the customer adds work items, the process engineer only needs to log the new labor hours into the system, and the quotation system will automatically import the latest labor hours. |
(3) | Advantages: It saves time for personnel and material distribution and improves the accuracy of quotation to 100%. |
# Work order control & exception handling:
Let’s first introduce the operation management platform. The operation management platform is divided into a work-side management platform and a customer-side management platform (under construction), and the operation management platform is further divided into an abnormal management platform and a normal management platform. In short, sales and PM can see all information at a glance from this operation management platform!
1. Exception management platform:
- To inform personnel that they need to handle exceptions quickly, speed up exception processing, and also greatly reduce MAIL exchanges.

2. Normal management platform:
- The advance notice will become abnormal information, and the failure cost can be reduced through the management platform.
# Client fixed data provides:
Customers can log in to the customer real-time system through login in the PSI official website, and can refer to the status of each work order (for example: shortage of materials, date of delivery, date of delivery), RMA status and customer supply inventory status! At present, the PSI team is continuously optimizing, mainly optimizing two aspects.
1. Interactive customer real-time system:
- The so-called "interactive" means that customers can log in to the real-time system to maintain their data, not only PSI's unilateral maintenance!
2. Add items:
- According to the needs of each customer, increase the type of data that the exclusive customer wants to see, so as to achieve a customized customer real-time system.
3. Simplified:
- In the future, we hope to change to interactive, so we need to simplify the operation process, so that customers can easily operate, and then prefer to operate through the system, which can reduce the number of mail exchanges.
