Historically, the primary communication channel between PSI's Market Department, internal units, and our clients has been email. With hundreds of emails flooding in daily, information overload naturally increases the risk of oversights, making it difficult to resolve issues promptly within a crowded inbox. To address this, our company has developed an in-house automated platform designed to consolidate critical information. This platform empowers the Market team to handle daily tasks and exceptions in real time, significantly boosting work efficiency and minimizing operational errors.
By integrating routine tasks into the Operations & Exception Management Platform, employees can now access their daily to-do lists from a single, unified dashboard. Guided by automated system prompts, personnel can drastically reduce the time spent sifting through emails and mitigate the risk of missing important messages. Ultimately, this system enables our team to effectively prioritize their workflow and elevate overall management efficiency.
In its initial rollout phase, the platform has incorporated the following core management modules:
1. BOM Creation & Verification Notifications
Standard Operation Triggers: Notifications for the creation of new order BOMs (Bill of Materials); reminders for new materials lacking assigned part numbers; and verification alerts post-BOM creation.
Exception Alerts: Escalation notices for urgent and highly-urgent orders left incomplete within 1 day; standard orders incomplete within 2 days; new material reminders pending for over 3 days; and orders requiring verification left unaddressed for over 2 days.
2. ECN Changes (Including Secondary BOM Verification)
Standard Operation Triggers: Reminders for pending verifications when BOM or ECN (Engineering Change Notice) data is transferred from the staging area to the official production environment.
Exception Alerts: Escalation notices triggered when BOM or ECN data verifications remain unprocessed for more than 2 days.
3. Work Order Modification & Verification
Standard Operation Triggers: Verification reminders to cross-check discrepancies between modified work orders and the BOM; alerts for BOM discrepancies following changes in order production quantities; and reminders to compare BOM modifications against existing work orders.
Exception Alerts: Escalation notices triggered when a required cross-check or verification remains uncompleted for more than 1 day.
